What Clients Can Expect
A clear plan before care begins.
The first conversation is about fitβnot pressure. Your coordinator should help you understand the service, schedule, responsibilities, and cost before you agree to anything.
1
Needs conversation
Tell us who needs support, what a typical day looks like, what matters most, and when you hope to begin.
2
Written care proposal
Receive the recommended service, proposed schedule, current rate information, and any minimum visit requirements before care starts.
3
Thoughtful matching
Caregiver skills, availability, personality, location, and your stated preferences all contribute to the match.
4
Ongoing communication
Use the portal and care team to review visits, ask questions, request schedule changes, or discuss a different caregiver.
Recurring care deposit: before caregiver staffing is finalized, a deposit equal to two weeks of the approved weekly care hours is due. One week of that deposit is designated as a non-refundable scheduling retainer. For example, an eight-hours-per-week schedule requires a deposit equal to 16 care hours; the portion equal to eight care hours is non-refundable. This payment secures caregiver staffing, scheduling, and administrative coordination services. Only the one-week scheduling-retainer portion is designated as non-refundable.
Rates and coverage: rates and minimums vary by service, credentials, timing, and location. Private pay is common; coverage or reimbursement depends on the payer and service. Your written Services Agreement is the final source for rates, deposit treatment, cancellation terms, payment timing, and approved funding arrangements.

Questions families ask us
The honest answers, before you even have to ask.
How are your caregivers screened?
Every caregiver passes a background check before their first visit, and we track certifications (CPR, First Aid, CNA/HHA licenses, TB tests) with automatic expiration monitoring β a lapsed credential flags our office immediately. We're an Oklahoma-licensed agency (License HC8155), licensed, bonded, and insured.
How do I know the caregiver actually showed up?
Our caregivers clock in with GPS verification at your loved one's door β every visit, verified by location. After each visit you get a caring note in your family portal: what care was provided, meals, mood, and highlights. You can follow along from anywhere.
What does care cost, and how do I pay?
Rates depend on the type of care and schedule, and we always provide them before service begins β no surprises. Invoices appear in your family portal with a secure Pay Now button (card payment); facilities can arrange bank transfer. Overdue balances may pause scheduling, so we'll always work with you to stay ahead of it.
How does the two-week care deposit work?
For recurring care, a deposit equal to two weeks of your approved weekly care hours is due before caregiver staffing is finalized. One week is a non-refundable scheduling retainer. If you schedule eight hours of care each week, your deposit equals 16 care hours, and the portion equal to eight care hours is non-refundable. The payment secures caregiver staffing, scheduling, and administrative coordination services. Only the one-week scheduling-retainer portion is designated as non-refundable.
Do you take insurance or Medicaid?
Many families pay privately, and some long-term-care insurance policies reimburse home care β we're happy to provide the documentation your insurer needs. For Medicaid questions, call us at (918) 401-0175 and we'll talk through your specific situation honestly.
What if we need to cancel a visit?
Life happens! We ask for at least 24 hours notice to cancel a scheduled visit. Late cancellations may be billed up to 50% of the visit, but talk to us β emergencies are treated like emergencies, not policy violations.
What if we don't click with our caregiver?
You can request a different caregiver at any time, no awkwardness required β matching personalities matters as much as matching skills. You can even mark a caregiver as "do not return" and we'll honor it permanently and automatically in our scheduling system.
Can caregivers give medications or medical care?
Standard caregivers provide medication reminders β prompting and confirming, not administering. For clinical needs (wound care, injections, skilled assessments), our Skilled Nursing service brings licensed RNs and LPNs. In any emergency, caregivers call 911 first, then your emergency contact.
How fast can care start?
Often within a few days of your consultation, depending on your schedule and location β and we can sometimes accommodate short-notice and emergency requests. The sooner we talk, the sooner we can match your caregiver.
Where do you serve?
All of Oklahoma β all 77 counties, from Tulsa and Oklahoma City to the smallest country roads. Check your ZIP on our
Service Areas page.
Is there paperwork?
Just one services agreement, signed electronically in your family portal in about two minutes β it covers scheduling, rates, and safety, and stays available for you to re-read anytime. No fax machines involved, we promise.
Can I hire my caregiver directly?
We ask families not to hire our caregivers outside the agency for 12 months after their last visit. It keeps caregivers protected (insurance, verified pay, support) and keeps your care backed by our screening, backup coverage, and accountability.
What makes Birth & Beyond different?
One agency for every stage of life β newborns to seniors β so your family never has to start over with strangers. GPS-verified visits, portal updates after every visit, DHS-ratio event staffing, and caregivers we'd welcome into our own homes. Care that goes beyond is not a slogan; it's the standard we schedule to.
